Job Description

This onsite role in Santa Ana, CA offers an hourly rate of USD 20 - 24 and sits at the intersection of payroll, staffing, and recruiting. Trademark Staffing specializes in temporary, temp-to-hire, and long-term placements within the Restoration and Construction industry. This Payroll Administrator / Staffing Coordinator / Recruiter position emphasizes growth, collaboration, and contributing to client success. Responsibilities

  • Process employee timesheets, including reviewing, calculating, updating, and maintaining payroll records, wages, and deductions.
  • Process Certified Payroll Reports accurately and timely.
  • Handle EDD claims, garnishments, and related payroll documentation.
  • Maintain and organize employee personnel files and confidential records.
  • Maintain employment documentation, including applications, I-9s, W-4s, and related records in both paper and electronic databases according to company policies.
  • Coordinate and conduct new employee orientations, providing detailed job and client information to ensure employees are prepared for interviews and job assignments.
  • Collect and transmit employee timecards to the payroll department while serving as a liaison between employees, branch staff, and payroll.
  • Prepare and submit weekly and monthly reports to the Branch Manager as requested.
  • Perform additional administrative duties as assigned.
  • Occasionally travel to client locations or perform company-related tasks such as delivering employee paychecks, office errands, or client visits.
  • Assist with recruiting efforts (recruiting experience is a plus).

Requirements

  • Minimum 2 years of experience in employee timekeeping and payroll processing.
  • Bilingual in Spanish (required).
  • Previous experience in staffing, recruiting, payroll, or HR is preferred.
  • Experience with Certified Payroll is highly preferred.
  • HR and accounting experience are a plus.
  • Strong organizational skills with the ability to multitask in a fast-paced and changing environment.
  • Positive attitude with a strong desire to grow within the staffing and recruiting industry.
  • Ability to work collaboratively in a team-oriented environment.
  • Strong sense of urgency and excellent problem-solving skills.
  • Solid decision-making skills with the ability to prioritize tasks and work efficiently.
  • Proficiency in Microsoft Office, computer systems, and social networking platforms.
  • Strong computer, typing, and keyboarding skills with the ability to learn new software quickly.
  • Must be available to work overtime, weekends, and additional hours as needed to meet business demands.
  • Must possess a valid driver’s license and reliable transportation for occasional company-related errands or client visits.
  • Must successfully pass a pre-employment screening, including a background check, drug screening, credit check, and employment reference verification.
