Position Summary

The Youth Development Recruiting and Talent Administrator supports the YMCA’s mission of strengthening communities through youth development, healthy living, and social responsibility. This role coordinates recruitment, hiring, onboarding, scheduling, and training for program staff, and ensures licensing requirements are met while maintaining accurate staff records. As a primary point of contact for new and prospective staff, the administrator helps create a welcoming first impression of the YMCA and fosters staff readiness and retention within Youth Development to ensure programs are consistently staffed with engaged, qualified team members who deliver safe, positive experiences for youth.

Essential Functions

  • Recruitment
    • In alignment with HR, actively recruit staff for all youth programs, targeting diverse candidates; identify and attend job fairs; schedule and conduct initial candidate screenings; and document all required credentials.
    • Collaborate with HR to complete new hire orientations, paperwork, and onboarding.
    • Maintain consistent documentation and training records for licensing requirements and certifications.
    • Assist with documenting and supporting volunteers, interns, and field study students, confirming required documents and credentials.
    • Work with the Youth Teen & Family Director to determine staffing needs to meet program requirements.
    • Creatively address staffing shortages and establish clear, consistent processes for recruiting, staff scheduling, and substitute coverage.
    • Implement practices that promote a positive employer-employee relationship and high engagement and morale.
  • Administrative Duties
    • Oversee and ensure compliance with training requirements through the Department of Early Learning and Care.
    • Manage staff schedules based on program type and maintain a list of qualified substitutes to ensure smooth scheduling changes.
    • Coordinate and track annual licensing renewals.
    • Collaborate with HR to ensure staff and program files and documentation are complete, accurate, and up to date.
    • Ensure minimum standards for staff qualifications, child-to-staff ratios, and facility safety are met.
  • Training Administration
    • Partner with HR to coordinate department training and professional development for youth program staff.
    • Commit to completing YMCA and DELC required trainings; enroll in the Child Care Division’s Central Background Registry (oregonearlylearning.com) and maintain active enrollment throughout employment in the Youth Development Department.
    • Perform other duties as assigned.

Minimum Qualifications

  • At least 3.5 years of related experience coordinating administrative functions (e.g., Administrative Assistant, Office Manager, Program Coordinator).
  • At least intermediate level skills with core business software, including the Microsoft Suite (Outlook, OneDrive, Teams, Word, Excel, PowerPoint, Forms, Adobe Acrobat).

Preferred Qualifications

  • Previous experience working at a YMCA
  • Previous experience in childcare or K-12 educational settings
  • Experience working with individuals from diverse backgrounds (race, sexuality, gender identity, national origin, skin color, abilities, age, religion, socioeconomic status, cultural background, lifestyles, and related aspects)
  • Conversational fluency in Spanish

Work Environment and Physical Demands

  • Regularly sits and reaches; moves around the workspace as needed.

  • The work environment noise level is typically moderate to loud.

Hours and Work Schedule

Monday through Friday, 9:00 am to 6:00 pm. Hours may vary by season and need. Some evenings, weekends, and YMCA special events may be required.
